What are the steps in using functions

          The computer always makes the things easy and simple. the functions in Excel are such simple techniques for calculating the values.

           Functions are ready to use formulas. They are the simplified formulas already inserted in the computer. For example, instead of calculating sum from A1 to A20 ( like A1+A2+A3......etc ), we can give a function like sum (A1:A20).

            In this chapter, we learn about the following topics.
  • Using functions
  • Calculating the value when we do not know the function name.
  • Copying the formula to adjacent cells.



✋Using Functions in Excel✋

          Functions are short cuts for formulas. There is a program written inside the computer to apply the formula to a particular function. Another use of functions is it provides ranges so that we need not type the names of all cells. For example, if we want to calculate the marks of thousand students. then we have to type all the 1000 cells like A1+A2+A3.. etc., Instead of typing all the cells, it is enough to type just A1:A1000. This A1:A1000 is called a range.

            Let us learn how to use the functions practically in the Excel Sheet.

1. Open the Excel file and type average in i1 cell.👇



2. Place the cursor where you want the answer.(i.e. i2)👇




3. Type here =Average(B2:G2). This means we want to get the average marks from cell B2 to G2👇



4. Click on Enter. The answer appears.👇




👍Coping the Formula to Adjacent Cells👍

          We have already calculated the average marks of one student. Let us suppose there are 100 students in a class. If we want to calculate the average of remaining 99 students, a lot of time and effort are needed. But there is technique in Excel. Without applying the same formula, we can find out the average marks of the remaining  99 students with a single click. Let us learn how to calculate the simple technique of copying the formula to adjacent cells.

1. First, calculate the average marks of one student. We already calculated this in the above previous step.👉👉👉👉👇


2. Click on the cell containing the formula of the average of first student (i.e.i2). A+ symbol appears at the end of the box.👇


3. Drag the cells down to copy the formula.👇


4. Consequently, the average of 99 students appear. In the same way, we can calculate the total and average marks of thousands or lakhs of students.👇
